MAY 2000

Minutes of the May 22, 2000 Meeting.

Persons in attendance:
David Smith, Sharon LeDuc and Wray Gillette.

1) Copies of the preliminary Stonehenge directory prepared by Leo Hoarty were distributed for the purpose of identifying errors, changes in households, new addresses, etc. We are to return a copy of the directory and the master list to Diane Lahti with the changes. (Diane, I have the master list and will get it back to you, or you can pick it up.)

2) There is a database available at a cost of $250 - $400 that provides all new move-ins. If someone can forward this to Leo Hoarty, we'd like to find out a few things:
a) How often is the directory updated?
b) How is this accomplished?
c) Do you keep a supply of directories on hand for move-ins and if so, how do we get a copy to them?

3) We discussed asking local Stonehenge realtors if they would like have a Stonehenge membership package to include directories, applications for membership, pool info, website info and how to get more info, etc to give to prospective buyers.

4) Two businesses have expressed an interest to Diane Lahti about sponsoring a Stonehenge event. Willing to spend about $400. All agreed this would be great. Need to consider for upcoming summer pool party.

5) Speaking of parties, we discussed trying to combine an ice cream party to include the kids with an adult party to follow. I contacted Todd at the pool and was reminded that we could not use the pool for a function that would include non-pool members while the pool is open. In other words, we can use the pool beginning no earlier than 8:00pm. We already have the pool secured for June 30 (even though we discussed trying to get it in mid - late July). We can cancel if we are unable to get a newsletter out in time to let everyone know. Options for a party include ice cream beginning at 8:00pm and a perhaps a DJ/adult party starting sometime thereafter. Anyone have suggestions/thoughts on the date and/or type of party? Could we just put together a notice for the party in lieu of an actual newsletter if we want to keep that date? Todd indicated a DJ costs around $300. In talking with Diane, she indicated Don Collum had done this previously and we should check with him. How about it , Don?

6) We discussed advertising prices for the website. By copy of this email, inquiring from Steve Boase answers to several questions:
a) Can you help us determine appropriate fees? Does the price of a website ad vary given the size/style of the ad?
b) Can you give us an idea how we should set up a simple fee schedule?
c) Does it make sense to give the members a discount?
d) For how many months should the ad run as a minimum, 2,3,4,6 months?
Please let us know asap so we can get the website moving....

7) Sharon was planning to meet with 3 families this past week who had expressed an interest in maintaining the 6 signs for about $50/mo each family.

8) Sharon got an estimate of $1851 to renovate the sign of Ray Rd and Laurel Mtn. Was told that the existing sign is made of plastic and needs to be upgraded to be more durable. We decided against this and will look for alternatives.

9) Sharon needs bills for sign materials where they were recently painted, etc. Also needs bills for the last newsletter printing. Dennis, do you have that?

10) Lori has new membership figures but that info was not available at the meeting.
